Business Development Recording via Activities


Activities in LEX are used for a number of functions. Time recording, emailing, workflow reminders and opportunity reminders to name a few. Another use is for logging BD / CRM activity between Barristers, staff, companies and contacts. Where an appointment Is added to the diary to show a number of people within chambers attending a client event such as a breakfast meeting or networking event, the appointment Itself can only link to 1 company and 1 contact. On appointment level apart from adding additional names to the notes section, there is no way of linking more than 1.


This is where activities can be used and is detailed below. 


NOTE: Activities and Appointments are not linked in any way, using an activity to record BD / CRM data this is separate to / in addition to the diary.


Creating a new Activity


Activities can be added from the LEX add new menu, follow steps below





The image below shows a new activity, the boxes highlighted are the only boxes required to store the information needed:

 

Owner - the person entering the activity by default but can be amended to show the lead attendees name (Barrister or Clerk)

Start Date - the date of the activity or event

Type of activity - these can be customized by chambers, 2 setup examples are shown:



Description – this is where any notes or narratives can be added which can be reported on at a later date

Activity Relates to – this is where barristers, clerks, companies and contacts can be added. The example below shows a number of Barristers and Contacts, from various different companies are all logged on the same activity record:




Reporting / Reviewing saved activities


Saved business development activites can be located and reported on in a number of ways. The activity analysis report will allow filtering by date range and activity type to get an overview of ALL BD activity in chambers:




Other occasions may require a breakdown for a specific staff member / clerk, barristers, companies or contacts. These can also be reported on from the activity analysis report. However the activities search grid is also a great tool to review BD activities, benefit of using this option is enabling users to set the activities columns ordering to enable quick filtering and export as required. 


NOTE: When using search grids fore reporting purposes, to date range a date column users can enter the date, formatted correctly and separate the date range by a comma and a space, for example: 15/01/2025, 26/06/2025



Alternatively the details can be found in each record under the activities tab, users can set the activities column ordering to enable quick filtering and export as required.
