Saved and Automated Reports
Users can save reports to utilise at a later date or set up automated emailing. The automated reports can be just to the user creating them, a number of other users in chambers such as management or clerking teams or to a number of barristers. Each saved report can use specific criteria and options from the main report options for the chosen report.
Click on Save Options instead of Generate to save a particular report. This will save any filters you have applied to the report.
This will open the SAVE REPORT OPTIONS pop-up.
Saved Report Options – Use only these options to save the report for future use with no auto email requirement
Name | The name you want to give to the report. |
Description | Your description of the report. E.g. Aged Debt for Bob Smith or YTD Payments |
Save Dates? | Tick this if you want the saved report to retain the date information you enter. |
Automatic Email Options - Use these to create automated emailed reports
Frequency | Select from Daily, Weekly, Monthly, Quarterly, Yearly or 6 Monthly. |
Users to email FULL Report to | Users entered here will receive the full report with information relating to all barristers included in the report. |
User Email Template | Assign an email template with specific wording for the USER |
Barristers to email Barrister-specific report to | Barristers entered here will only receive their own report and will not be able to see information pertaining to any other member of chambers |
Barrister Email Template | Assign an email template with specific wording for the BARRISTER |
Next Process | The date the report will next generate. |
Next Period Start | The start date the next report generation will use. |
Next Period End | The end date the next report generation will use. (this will not be visible for aged debt reports as they are always ran as at today’s date) |
See below instructions for setting up automatically emailing daily, weekly, monthly and yearly saved reports.
Frequency | Instructions |
Daily | Set the Next Process date to, for example, 02/05/16 (Monday), the Next Period Start to 01/05/16 (Sunday) and the Next Period End to 01/05/16 (Sunday), and it would email users at 00:30 on Monday (02/05/2016) with Sunday’s (01/05/16) figures, and each day after that with the figures for the day before. |
Weekly | If you wanted to produce a weekly report every Monday, you would set the Next Process date to, say, Monday, and the Next Process End to Sunday, and it would email users at 00:30 23/07/2016 with last week’s figures, and each Monday after that. |
Monthly (on the 1st of the month) | Create a saved report with start date 01/07/2016 to end date 31/07/2016.
Set frequency to Monthly, Next Process of 01/08/2016, Next Process End of 31/08/2016.If you wanted to produce a monthly report, it MUST be on the 1st of the month, and will always run to the end of the month. Set the Next Process date to, say, 1st August, and the Next Process End date to the end of July. It will email users on the 1st of each month with the previous month’s figures. |
Yearly | If you wanted to produce a yearly report, it MUST be on the 1st of January, and will always run to the end of the year. Set the Next Process date to, say, 1st Jan 2016, and the Next Process End date to the end of 2016. It will email users on the 1st of January with the previous year’s figures |
The Report Options Start/End Dates are calculated based on the Frequency and the Next Process End date. Please see below examples of daily, weekly, monthly and yearly.
